Job Description: The Finance and Administrative Officer will work within CiC’s Finance/Admin team. This is currently formed of the Finance Manager and Office Manager. Their role will be split roughly equally between working with these two members of staff. The Finance and Administrative Officer will also be responsible for management of CiC’s cleaner and cook and ensuring stock control in the kitchen which provides lunch each day for the CiC office team. The Finance and Administrative Officer will report to the Finance Manager. Responsibilities: Finance Related Duties and Responsibilities: Expenditure Transactions: Check that receipts are correctly authorised, coded and presented. Ensure that adequate explanations are provided in English to satisfy audit requirements. Prepare taxi slips and kitchen expenditure records Enter transactions into QuickBooks Month End: Assisting the Finance Manager with preparation of the Monthly Financial Report for CiC’s donors and for CiC London in particular- budget versus actual, monthly budget request and cumulative expenditure sheets Checking monthly budget plan against forecast Check purchase orders against monthly budget plan Calculation and payment of income tax and office rental tax Filing: Photocopying and filing of bills alongside the Maintenance Supervisor Administrative Related Duties and Responsibilities: Human Resources: Analysis of monthly attendance and leave sheets Preparation of the Monthly Salary Sheet with support of the Finance Manager Preparation of ID cards and business cards Management of cook and cleaner Arrangement of internal travel including booking flights and collecting tickets Stock Control: Updating of the inventory list Distribution of Stationery Providing day-to-day support to the Finance Manager and Office Manager in order to assist them in their duties. Management of the cleaning and cooking staff.
