Job Description: Position Summary With the support and under the supervision of the Deputy Chief of Party-Finance & Administration, the Events Officer will be responsible for coordination of events, conference and Trainings. Major Duties and Responsibilities: Engage in events (workshop, conferences, training, exposure visits, etc.) planning, implementation and follow-up activity with both the program and operation team. Manage all aspects of program events including but not limited to; invitation, travel arrangement of participants, coordination with travelers and with other teams and any other tasks related to program events. Doing this requires an extensive amount of coordination and cooperation with different units including; communication, program, security, operation, invitees and vendors. Provide support to the relevant program team in development of selection criteria for participants of all events. Undertake visual compliance check, identity check of all participants traveling to Kabul for training workshops, conferences, etc. Coordinate event logistics, publicity, including public relations, including distribution of communication materials in close coordination with communication unit. Engaged in development, cost estimation and fulfillment of the budget for the events with program team and on ad hoc basis with DCOPs. Coordinate events with all relevant teams within Counterpart International - Afghanistan and with national, international partners and government if any. Coordinate logistics of events with procurement and finance teams as well as with vendor including conference/workshop venues etc. Supervise and coordinate the event along with the event focal points (under each program unit) within Counterpart International - Afghanistan. Arrange and facilitate meetings on events within Counterpart International – Afghanistan. Manage all event operations (preparing venue, invitations, Air ticketing, M&IEs etc.) Keep event tracker up to date and regularly coordinate with relevant units. Work with DCOPs to keep trackers up to date. Any other tasks assigned by the his/her supervisor.
