Job Description: The Administration and Finance Assistant is responsible for providing financial, administrative and clerical services in order to ensure effective, efficient and accurate project related financial and administrative operations. The Finance and Administration Assistant must accomplish all the related activities as per provided guidance. S/he will be responsible to process project staff monthly time sheets, payrolls and perform daily required administrative activities. Admin: Preparing of Contracts for Sub-contractors. Keeping record of Current and Fixed Assets of the project. Maintaining supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and verifying receipt of supplies. Supervising Administrative routine works. Handling Administrative details of all projects. Ensure sites staff attendance is signed daily. Tracking staff’s leave and proper record of the designated leave forms. Send daily attendance report to Admin/HR and Finance Departments. Prepare and report the summery of monthly staff attendance report to Admin/HR Department. Inform main office for newly hired employee. Maintain proper filing system and record keeping. Finance: Handling the daily, weekly, and monthly expenses of the project. Ensure financial operations are transparent. Verify and check bills for validity and accuracy. Review accuracy of the invoices based on the goods received records and supporting document. Preparation of payment vouchers Settlement of cash advances. Updating and submitting cash book and weekly reporting. Submitting payment packages with all supporting documents to finance. Verifying and updating rental machinery time sheet. Other Duties Processing request for purchase. Provide the GRN’s to the procurement department in coordination with site store keeper. Getting the quotation, purchasing items based on project needs.
